Open role: CCMS Administrator
Location: Gresik
Work schedule: 6 weeks on / 2 weeks off (11 hour per day)
Reports To: Completions Manager
1. Summary
Reporting to the Completions Manager, the CCMS Administrator is responsible for the work processes, handover tools (Ipas CS), reporting and punch list management.
This role is a critical component of the Completions Team, and the incumbent will work in close cooperation with the Construction team, Construction Contractors, PreCommissioning Team, Commissioning Teams, and Owner’s Teams to achieve successful handover of completed Project scope to the Owner’s Team.
The scope of the CCMS Administrator’s role includes the following activities:
• Assist the Completions Manager with the establishment of the Completions Team.
• Establishment of CCMS (Completions and Commissioning System) and communication to the Project team on the various responsibilities for providing input to this system.
• Maintenance of the CCMS Inspection and Test Records (ITRs) and Checklists.
• Coordination of the Project punch list process.
• Coordination of the Walk down process.
• Issuing of Completion Certificates.
• Provision of Completions reports to the Project team.
• The Commissioning CCMS Administrator is a specialized role and requires very specific skills and experience.
2. Key Responsibilities
Establishment of the iPas CS system for the project, including:
• Championing the system to ensure the Project team understands its role and importance in delivering a successful Project through robust completions.
• Identification of all inputs required and working with the Construction and Commissioning Management Teams to track its establishment.
• On-going administration of the system and providing a link back to the company Corporate Ipas CS group as required. Ensuring that a suitable ITR/Checklist is available from each discipline for all equipment types and eventual tagging of all project equipment (mechanical, electrical, instrumentation and process control) with an appropriate ITR.
• Collection of all completed Construction and Pre-Commissioning ITRs/Checklists and loading into CCMS.
• Establishment and management of the CCMS to support the punch list process, including:
• ensuring CCMS documentation, workflows and authorizations are aligned with the Project Punch List Management Process.
• communication to the Project team about the punch list work process.
• training as required.
• maintaining the quality of the punch list system.
• Issuing of accurate punch list reports.
• Establishment of punch list review/close out meetings.
• Coordination and support for Completions Walk downs, including:
• Sending requests for walk downs based on a pre-agreed criterion (e.g., % completion).
• Sending a Completions Team representative to coordinate the walk down in the field.
• Ensuring collection of all punch list information and eventual input into Ipas CS. Issuing of all Project Completion Certificate and keeping copies of all signed documents in CCMS.
• Provision of all required Completions reports to the Project Management Team.
• Qualifications and Experience
• The position requires an individual with significant administrative experience and familiarity with the work processes of Project completion. They should have strong communication skills and able to engage across the full Project team.
• Intimate knowledge of CCMS Systems.
• Minimum five years experience on projects in a multidisciplinary team environment.
• Extensive experience in the use of procedures and workflow for project execution.
• Functional knowledge of all Pre-Commissioning discipline requirements.
• Good understanding of interdisciplinary dependencies in a project environment.
• Good organizational skills.
